- Steep Early Termination Fees: Contracts may include penalties equal to months of service fees, effectively punishing labs for daring to switch providers.

- Lack of Data Portability Guarantees: Ask whether you own your data outright and if the vendor will supply it in open, standard formats (e.g., HL7, CSV) upon contract termination.
- Vendor-Only Integration: Beware of promises that “we integrate with everything” – followed by fine print requiring costly middleware licensed exclusively by the vendor. According to Ardas, this tactic has become a new, sad norm in recent years.
- No Sandbox or Trial Environment: If you can’t test the full system with your real workflows and data, you risk committing blind. A proper evaluation should include a free or low‑cost test environment that mirrors your production setup.
Questions to Ask During Demos – Best Practices
When you’re exploring a new LIS vendor, asking the right questions during the demo can make all the difference. Some of the questions below came straight from our clients; others, we encouraged them to ask – because getting clear answers upfront is key.
Start with data ownership – It’s your data, you should have easy access to it, and export it when needed. Next, make sure you understand the fine print: your early termination policy, and how exit costs are calculated.
Integration is another big one – third‑party systems that are natively supported, pricing for custom API access, and how flexible (if at all) the pricing is. Also, make sure to double-check everything related to test environments, their production environment sync, how many seats are available, etc. Finally, don’t forget to check updates, customizations, and overall support.
